Privacy Policy

This Privacy Policy describes how Teachly (“we”, “us”, or “our”) collects, uses, and protects information when you use the Teachly mobile application and related services (the “Service”).

Information We Collect

• Account information — for staff who sign in (for example, teachers or administrators): name, email address, and role, provided when the account is created. Students are not sign-in account holders (see “Student Information”).
• School and class data — schools, classes, subjects, timetables, student records, and attendance you enter while using the Service.
• Usage and device information — log data, device type, and diagnostic information used to operate and improve the Service.

Student Information

Student records are created and maintained by authorized school staff. For each student, the following may be recorded:

• Name (required).
• Date of birth and address (optional).
• Guardian name and contact details (optional), used so the school can reach a student’s family when needed.
• Class and subject enrolment and attendance records generated as the student participates in classes.

We do not collect or store an email address for students. Each student is identified internally by a system-generated identifier, not by a personal email account.

We follow the principle of data minimization: staff are asked to record only the information the school actually needs, and the optional fields above may be left blank. Students do not need to sign in to the Service; these records exist so staff can manage classes and attendance. We process student information solely on behalf of the school (see “Children’s Privacy” below).

How We Use Information

• To provide, maintain, and improve the Service.
• To authenticate users and secure accounts.
• To generate attendance, leave, and reporting features you request.
• To communicate important notices, such as security or service updates.

Data Sharing

We do not sell your personal information. We share data only with service providers that help us operate the Service (such as hosting and email delivery), and only as needed for them to perform those functions, or where required by law.

Data Retention

We retain information for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data by contacting us at the address below.

How to Request Student Data Deletion

A parent or guardian, or a school administrator, may request the deletion of a student’s records at any time. To do so:

1. Email us at bthalinda+teachly@gmail.com with the subject line “Student data deletion”.
2. Include the student’s name and the name of their school so we can locate the correct records. Please do not include sensitive details in the email itself.
3. For a request made by a guardian, we will verify it with the school before deleting, since the school is the owner of the records.

Once verified, we will delete the student’s personal information and associated records (such as enrolment and attendance) within 30 days, except where we are required to retain certain information by law. School administrators can also remove student records directly from within the app.

Data Security

We use reasonable technical and organizational measures, including encrypted transport and access controls, to protect information against unauthorized access, loss, or misuse.

Children’s Privacy

Student records may be entered by authorized school staff. The Service is intended for use by educational institutions and their staff, not directly by children. We process student data only on behalf of the school as a data processor.

Your Rights

Depending on your jurisdiction, you may have the right to access, correct, or delete your personal information, or to object to certain processing. To exercise these rights, contact us using the details below.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
